Problem
Instead of the traditional serial numbers and machine-based activation used by other SOLIDWORKS licenses, the 3DEXPERIENCE Platform uses named-user licensing. Users are invited via email address and assigned roles that allow them to access specific apps. As a result, the process to invite new members may not be intuitive for some users.
Find the Members Control Center
This section goes over the first part of inviting and managing members, which is finding the Members Control Center itself. Only Administrators will have access to it.
- Go to the 3DEXPERIENCE Platform in a browser.
-
Select the 'three lines' icon in the upper left corner to open the Dashboards/Cockpits menu and select the Platform Management dashboard.
-
Go to the Members tab.
This dashboard shows the users on the platform, the roles available and currently consumed by those users, as well as other tabs to control settings for the users.
Solution 1: Invite Internal Members
The most common way to invite members to the 3DEXPERIENCE platform is to invite internal members. These would include users from your organization who will be using your licenses on this tenant.
-
On the Invite & Grant Roles tab of the Members Control Center, select the "Invite members" button.
-
Enter the user's email address and set their user rights (Administrator or Member - we'll discuss External in the next section). You can add multiple members at once and can set their location, the language for the invitation email, and add a message to be included in the invitation email if desired. Hit "Next" to proceed.
-
On the next page, select roles to assign to the user. You can search for roles if needed, and colored icons on the right side will indicate how many seats of each role are available. Keep in mind that the 3DSwymer and Collaborative Industry Innovator roles act as prerequisites to access the platform and use the basic data management tools required to store files on the platform, respectively. Hit "Next" to proceed.
-
Select any additional apps if desired, and then click "Invite" to invite the user to the platform. They will receive an email invitation with a link for them to accept and join the platform.
-
After being invited to the platform, the user will appear in the Members section of the Members Control Center with a (Pending) status until they have accepted the invitation.
-
To add roles for a user after they have been invited or otherwise manage the user and their roles, click the "i" icon next to their name to bring up the Member Details window.
-
Select "View All" to see roles that they have not been granted yet and assign any as needed using the checkboxes. Roles can also be found using the search bar in the upper right.
If necessary, you can also remove roles or remove the user entirely. To remove roles, you can uncheck the roles under "View roles granted" on their Member Details window. To remove the user, go to the Settings tab in the Member Details window and use the "Remove user" button.
Solution 2: Invite External Members
In some cases, there may be external members who need access to the 3DEXPERIENCE platform, but are not part of your organization and may already have 3DX licenses from another company's tenant that can be used. There are additional steps that need to be taken for these users.
-
If the user will be using licenses from their own tenant on the external user's 3DEXPERIENCE tenant, their admin will need to make sure that Restrict Usage to this Platform is disabled for the user's roles. This is found on their Member Details window by clicking the "i" icon next to their name.
-
On the tenant they are being invited to, go to the Configure Members Options tab in the Members Control Center to enable "Allow administrators to grant roles without assigning automatically the associated license".
- Follow Step 3 from the "Find the Members Control Center" section to start inviting the member.
-
After entering the user's email address, set their user right to "External".
-
When assigning the user roles, disable "Assign License" for the role(s) the user has on their own tenant. A license will need to be assigned for any roles they do not have on their own tenant.
-
Select "Next" and finish inviting the user to the tenant. Members will have a 'key' icon next to their name in the list of members if they were granted a role without assigning the license.
